Public Policy: Tips On Letter Writing
Letters to legislators are one of the primary forms of constituent contact. Follow these simple and time-tested guidelines and have an influence on the legislative process by voicing your ideas to the people who represent you. Every letter counts –
1. Use clean, white 8½ by 11 paper, company letterhead if possible. Business format, remember to include the date
2. Be sure your exact return address is on the letter and the envelope. Be sure to include your phone number.
3. Keep the letter to a page or less.
4. Identify your subject clearly. If writing about a bill, use the Bill Number. (If you're not sure of the number, contact AOI at 503-588-0050 or e-mail the AOI lobbyist who covers that area )
5. State your reason for writing. Explain how the issue would affect you and your business. Try to be objective and specific. Clearly state whether you are FOR or AGAINST the bill or any of its features. You may think that the facts speak for themselves but the legislator may be less familiar with the subject than you. Tell why you are concerned, personally, about a bill.
6. Even if your position is in response to an AOI request, write your letter in your own words. And ask for the vote, for or against.7. Be reasonable. Don't ask the impossible, don't threaten or demand, and don't make disparaging remarks.8. Ask your legislator to state his or her position on the issues in reply. As a citizen, you're entitled to know.
9. Thank your legislator if he or she votes with you on an issue. Everybody appreciates a complimentary letter – and remembers it. On the other hand, if a vote is contrary to your position, don't hesitate to let him or her know (courteously!). That will be remembered, too.
10. If extending an invitation or requesting a meeting, suggest a time and date, or several dates, for the visit. Be flexible and accommodating.
11. Remember that courtesy is appreciated at all times. You are trying to inform your legislator about the impact of the proposed legislation, and he or she will appreciate your help.
12. Address your letter and envelope clearly and correctly.

14. At the end of your letter, write your signature over your typed name (unless it is in the letterhead) after the closing “Sincerely.”
15. Remember, as a business person, your success is important for the good of the entire state, so you should feel free to write any legislator on a business topic. And you may have more than one senator and one representative, check to see who represents your residence and your business address.
